e-Portfolio is a secure, user-friendly online platform where faculty can document their academic contributions, research and teaching activities, and more. It supports your ongoing professional development and provides helpful structure and documentation for the Continuing Appointment Review (CAR) process (sometimes called the Three-Year Review).

Best Practices & Tips for Using e-Portfolio

  1. Start Early: Don’t wait until your annual review! Create your e-Portfolio account early and begin logging your academic activities as they happen. This will save you time when it comes to your Three-Year Review.

  2. Update Regularly: Log activities quarterly or at the end of each term to avoid a last-minute scramble during your annual or Three-Year Review. Tip: set recurring calendar reminders. 

  3. Be Honest and Strategic in Your Reflections: This is your space to think critically about your development, not just to list achievements. Highlight what’s gone well, where you want/need support, and how your activities align (or don't) with your career goals.

  4. Review Past Reflections Before Writing a New One: Look at what you reflected on or accomplished in the previous year. This will make it easier to build on those reflections, show progress, and update your goal.

  5. Earn MOC Credits: Receive three (unaccredited) credits per hour under the Royal College Maintenance of Certification (MOC) Program for completing the Self-Assessment.

Within the Department:

  • What key projects, innovations, or initiatives have you led or contributed to?

Frequently Asked Questions for New Faculty

Who can see my e-Portfolio?

Your Site Chief, Department Chair, and assigned DAC reviewer(s)* will read your entries as part of the annual review or CAR process. Their feedback may help shape career development, mentorship opportunities, or readiness for promotion.

*DAC members will only have access to certain parts of your E-Portfolio when you are up for your Three-Year-Review/CAR.

What information is collected in Year 1 of the ePortfolio?

  1. Teaching Activities: including formal teaching outside clinical environment, supplementary teaching evaluations
  2. Administrative Activities: including committee involvement, administrative functions, etc. 
  3. New Faculty Development: Involvement in New Faculty Orientation, Faculty Development Day, Shields Research Day, etc.
  4. Education Scholarly Activities: Including funding & projects, presentations at peer-reviewed meetings, university awards, etc.
  5. Research Activities: Including publications, grants, collaborations, and other activities.
  6. Self-Reflection: Including achievements and successes, as well as challenges and obstacles.
  7. Feedback & Additional Comments: Including reviewing your progress, highlighting helpful support and resources, etc.

Do I have to use the e-Portfolio every year?

Although the use of e-Portfolio is not mandatory, annual updates are strongly encouraged and essential for probationary faculty undergoing CAR review.

Can I use the e-Portfolio for awards or promotion?

Yes! The platform is a valuable tool for compiling and keeping track of materials for teaching dossiers, CVs, and awards.

Can I update my entries throughout the year?

Yes. You can log in and make changes at any time. Many faculty use the e-Portfolio to track work in real time, which makes year-end summaries or CAR preparation easier.
